All storage within Research Drive is linked to one or more contracts that are defined within your instance.

Contracts are administered in the Research Drive Dashboard. 


Branded environment

In the case of a branded environment, the contract(s) displayed at the contract tab are different from the contract your institute has signed with SURF for using Research Drive as a service.

Purpose

With a contract defined in Research Drive you can:

  • Bundle one or more project folders
  • Make a user responsible for all project folders under a contract, see Roles
  • Assign a specific amount of the total storage budget to a specific group of users or project folders within your Research Drive instance
  • Better track the storage usage within your instance
  • Get better reports on the usage as it will be specified per contract and project folder

By default, an instance has a single contract that contains all available storage.

Roles

A user can be given the Dashboard Admin role and will then be able to manage contracts:

  • It can create new and manage existing contracts (not yet available)
  • It can assign (a part of) the total storage budget of the instance to a contract (not yet available)
  • It can designate a user as Contract Admin to manage a specific contract (not yet available)

The Contract Admin role gives a user the right to:

  • Create new and manage existing project folders under a contract
  • Manage and distribute the storage under a contract to one or more project folders
  • Set the Project Folder Owner of a project folder

Best practice

To ease the work/administration of a Dashboard Admin, the following scenario is a solution.

With this example you can allocate a budget to a department or research group, so they can create one of more project(s) themselves up to this budget.
This consumption will be compared to the SURF contract in monthly reporting and can for example then be billed on to this department / team.

How to arrange

  1. Create a new contract as Dashboard Admin at the contract tab
  2. Assign one of more people of a department / research team as Contract Admin to this contract
  3. Assign a quota (can be higher than agreed with SURF) to this new contract
  4. Contract admins can now create projects themself up to the total budget
  5. Usage will be report in the monthly reporting
